Dashboard Administrators
Dashboard Administrators have site-wide oversight and configure the core operational rules for Hall Pass:
Configure Hall Pass reasons: Create, edit, rename, and delete pass reasons. Set default durations, lock durations, establish default pre-selected reasons, and enforce maximum simultaneous capacity limits.
Manage site-wide settings: Turn on security PIN requirements, set minimum wait times between consecutive passes, and configure automated recurring pass replenishment schedules.
Setup notification recipients: Choose which administrators, deans, or security monitors receive email alerts when any pass expires campus-wide.
Manage Student Exclusion Lists: Create, edit, and bulk import exclusion groups, including setting temporary auto-deletion dates.
Set staff security PINs: Configure or reset 4-digit PINs in staff Person records, or set a shared site-wide PIN.
Monitor and audit: View the live auto-refreshing pass board and access exportable audit records in Analytics > Staff Reports > Hall Pass Report.
Adjust individual balances: Manually adjust remaining pass balances for individual students under People > Manage People.
Teachers and Staff
Teachers and instructional staff manage daily classroom movement from either the App Dashboard or the Edlio Mobile App:
Issue passes: Create passes for individual students or multiple students at once (immediate or scheduled upcoming passes).
Approve student requests: Enter their 4-digit security PIN to approve pass requests submitted from student devices (if PIN issuing is enabled).
Check students in: Mark returning students as checked in, or enter their PIN to verify return (if PIN check-in is enabled).
Monitor passes: View live countdown timers for students currently out of class, upcoming passes, and past passes.
Self-manage PIN: Set or update their own personal 4-digit security PIN directly in their Staff Profile (Dashboard) or mobile app settings.
Students
Students request and carry digital passes using their mobile devices or school Chromebooks:
Request passes: Choose a teacher, select a reason, and view remaining pass balances.
Display active passes: Present their live moving countdown pass to hall monitors and staff (dynamic animation prevents screenshot tampering).
Check in: Tap "Check In" upon returning to the classroom (unless the school requires teacher PIN verification upon return).
Access without cell phones: If personal phones are restricted, students access the Web Version on classroom or 1:1 Chromebooks.
