Editing and Managing Existing Documents

How to update document titles, replace attached PDF files, manage unpublishing, and remove outdated files in the Edlio App.

Keep your school's mobile resources up to date by modifying existing document records, updating file attachments, or unpublishing outdated items.

Managing and Editing Documents Inside Folder

⚠️ Important Note on Renaming Documents & Broken Links:

While document names serve primarily for internal organization in the dashboard, changing a document's name will change the direct URL of that document. If you have already shared the document link in emails, on your website, or across your app navigation, renaming the document will break those existing links. If you only need to update the file's contents without breaking existing links, replace the file attachment rather than renaming the document record.

Document Row Actions

Each document row in your table provides five dedicated action buttons:

  • View (Eye Icon): Previews the document directly in a new browser tab.

  • Move (Folder Icon): Opens the transfer dialog to move the document into another folder or back to root.

  • Duplicate (File Icon): Creates a clone of the document settings for fast drafting.

  • Edit (Pencil Icon): Opens the document configuration screen to rename the title, upload a revised replacement file, or update Secured Access settings.

  • Delete (Red Trash Bin Icon): Permanently removes the document from your mobile app.

Temporarily Unpublishing a Document

If a document is undergoing annual revisions or is seasonal (e.g., Summer Camp Schedules), you do not need to delete it. Click Edit, check the Unpublished toggle, and click Save. The document will immediately hide from the mobile app while preserving all settings in your admin dashboard until you are ready to uncheck it.
