Community Analytics: Monitoring Family & Staff Reach

How to use Community Analytics in the Edlio Mobile App/Mass Communications dashboard to monitor family reach, staff reach, app adoption, and resolve unreachable contacts.

Community Analytics gives school and district administrators real-time visibility into communication reach, channel effectiveness, and app adoption across their entire community. By tracking which families and staff members can be successfully contacted via app, email, text, and/or voice, administrators can identify communication gaps, target unreachable contacts, and maximize parent engagement.

Accessing Community Analytics

Navigating in your admin panel

To access Community Analytics in your EdlioApp admin panel:

  1. Navigate to Analytics from the main sidebar navigation menu (or click Community Analytics directly on your Home dashboard).

  2. The Community Analytics dashboard displays summary cards and reachability charts for both students/families and staff.

Understanding core reach metrics

Key communication indicators

Community Analytics aggregates contact details and communication channels to report on four fundamental health metrics:

  • Family Reach: The percentage and ratio of students who have at least one reachable parent or guardian contact on file (e.g., 88% Reachable — 440/500 Students). A student is counted as reachable if any linked guardian can receive messages through at least one active channel (App, Email, Text, or Voice).

  • Staff Reach: The percentage and ratio of staff members who can be reached through at least one active communication channel (e.g., 95% Reachable — 38/40 Staff).

  • App Adoption: The percentage of total users in your community who have downloaded, installed, and registered the mobile app (displayed as % on APP).

  • Reachability History: A chronological trendline tracking changes in your family and staff reach metrics over time. Positive or negative indicators (+ / -) show whether community connectivity is improving following school onboarding drives or back-to-school registration.

Reachability statuses explained

How contact states are calculated

Every student, parent, and staff record is evaluated across three primary reachability states:

  • Reachable: The contact has at least one valid, active communication channel (verified email, active mobile phone for SMS/voice, or registered mobile app) that has not bounced or opted out.

  • Unreachable: The contact record contains phone numbers or email addresses, but messages currently cannot be delivered. Common causes include previous message bounces, invalid phone formatting, landlines incorrectly flagged for SMS, or recipient opt-outs.

  • No Contact Info: The student or staff record exists in your system (e.g., via SIS sync), but lacks any phone numbers or email addresses. These records require immediate registrar or administrative follow-up.

💡 Reachability Badge Tip: Reachability badges also appear directly within People > Manage People and inside Groups. Hovering over a contact's reachability badge highlights exactly which channels (App, Email, SMS, Voice) are active and which are failing or missing.

Reviewing and resolving communication gaps

Using Review Features to clean up contact data

Community Analytics is not just an informational report — it provides actionable tools to resolve data discrepancies:

  1. Review Students with No Contact Info: Click the metric card to open a filtered view of all students missing parent contact records. Export this list to follow up during school enrollment or registration updates.

  2. Review Unreachable Staff: Examine staff members whose notifications are bouncing or failing. Update their contact profiles under People > Manage People or verify SIS employee exports.

  3. Review Parents without App: Identify families who are reachable via SMS or email but have not yet downloaded the mobile app. Use Marketing > Share Your App to distribute download links, QR codes, and onboarding flyers.
