Events: Overview and Calendar Management in the Edlio App

Learn how to access, organize, and manage school and district calendars in the Edlio App dashboard, including calendar views, settings, and row actions.

The Events feature in the Edlio App allows administrators and staff to organize, sync, and publish school calendars and event schedules directly to mobile app users. You can manage multiple sub-calendars (such as Athletics, Academic Schedules, and Campus Events), import external iCal feeds, and customize event alert notifications.

Navigating the Calendars Dashboard

To access your event calendars, open your Edlio App dashboard and select Features > Calendars (or navigate to /pages/calendar). The main dashboard provides centralized management of all active calendar feeds, folder hierarchies, and event synchronization tools.

From the root dashboard, you have two primary control areas:

  • 1. Calendar Management Controls: Use + New to create a new manual calendar or connect an external iCal feed, + New folder to group related calendars into categories, and Calendar Settings to configure global display preferences.

  • 2. Calendar Row Actions: Each calendar row includes direct utility controls:

    • Sync (Refresh icon): Immediately trigger a fresh sync from the external iCal feed URL.

    • View (Eye icon): Open the inside calendar view to browse, filter, add, or export individual events.

    • Move (Folder icon): Move the calendar into a designated folder.

    • Edit (Pencil icon): Modify calendar name, feed URL, or encoding settings.

    • Delete (Trash icon): Remove the calendar feed.

Inside a Calendar Feed

Clicking on any calendar row or selecting the View (Eye) icon opens the comprehensive calendar management workspace:

Within an active calendar feed, you can toggle between Month, Week, and Day views, review scheduled events, and manually insert custom entries using the + Add Event button or bulk import schedules via the Import / Export menu.

💡 Automatic CMS Integration: If your school utilizes the integrated Edlio CMS website platform, your master website calendar can automatically sync directly into your mobile app calendar feed without requiring repetitive manual entry.

Displaying multiple calendars on the mobile app menu (App Builder)

When your school or district organizes multiple calendar feeds (such as District Master, Athletics, School Board, and Academic Schedules), creating them in the dashboard stores them in your resource library. To make them visible and accessible to families on mobile devices, you configure how they appear on your app navigation using Administration > App Builder (or Menu & Toolbar):

  1. In your EdlioApp admin panel, navigate to Administration > App Builder.

  2. Select your navigation area (Side Menu, Home Screen Grid, or Bottom Navigation Bar) and click + Add Button (or New Item).

  3. Choose how to present your calendars to families:

    • Option A: Master Calendar View (Feature Link): Set the action type to Feature > Calendars. This places a single unified "Calendar" button on the app menu. When families tap it, they see a consolidated master schedule containing all active, public sub-calendars in one place.

    • Option B: Curated Calendar Folder (Content Folder Link): If you grouped related calendars into a folder (such as High School Athletics containing Baseball, Basketball, and Track), link directly to that Content Folder. Tapping this button opens straight into that specific group of sport schedules.

    • Option C: Dedicated Sub-Calendar (Content Item Link): Target an individual, high-priority calendar (e.g., a standalone Campus Event Calendar or District Holidays button) directly on your app home screen.

  4. Assign a recognizable calendar icon and label, then click Save / Publish App Layout.

💡 Menu Organization & Best-Practice Adoption Tips:

  • Highlighting a Group of Schedules (e.g., Athletics): If you want to feature related calendars together without cluttering the main menu, create a dedicated Athletics folder in your dashboard, place individual team calendars (e.g., Varsity Football, Track, Soccer) inside it, and add that folder as a single app menu item. This makes it effortless for sports families to find all athletic events in one dedicated hub amidst many school schedules.

  • Avoiding App Screen Clutter: If your campus manages numerous individual calendar schedules across departments or grade levels, avoid placing separate buttons for every single schedule on the primary home screen. Instead, combine a primary Master Calendar button with 2–3 curated department or activity folders so families can navigate cleanly.
