Frequently Asked Questions

General Questions

Q: What types of links can I add to Quick Links?
A: You can add links to any valid website URL. This includes external websites, Google Docs, PDF files, videos, and other online resources. The URL must include the proper protocol (http:// or https://).

Q: How many Quick Links can I create?
A: There is no set limit to the number of Quick Links you can create. However, for optimal user experience, we recommend keeping the total number manageable (typically under 30) so users can easily find what they need.

Q: Do Quick Links work offline?
A: No, Quick Links require an internet connection to function since they direct users to online resources. If a user taps a Quick Link without an internet connection, they will see an error message or be redirected to their device's browser, which will show an offline error.

Q: Can I track which Quick Links are being used?
A: Basic usage statistics are available in the Analytics section of your EdlioApp admin panel. You cannot see how many times each Quick Link has been accessed over various time periods.

Organization Questions

Q: Can users see the folder structure I create?
A: Yes, the folder structure is visible to administrators in the admin panel and to users in the app depending on access permissions.

Q: What's the best way to organize Quick Links for different user groups?
A: We recommend creating folders in the admin panel that correspond to different user groups (e.g., "Student Resources," "Parent Resources," "Staff Resources"). Then use access permissions to control which links are visible to which users.

Q: Can I create subfolders within folders?
A: Yes, you can create multiple levels of folders for your own organizational purposes in the admin panel. However, remember that this structure isn't easily visible to end users in the app.

Common Issues and Solutions

Display Issues

Issue: Quick Links are not appearing in the order I specified
Solution:

  1. Verify that you've set the "Order" value for each Quick Link

  2. Remember that lower numbers appear first

  3. Links with the same order value will be sorted alphabetically

  4. If you've recently changed order values, it may take a few minutes for changes to appear in the app

Access Control Issues

Issue: Users cannot see Quick Links that should be available to them
Solution:

  1. Verify that the user has the appropriate role (Student, Parent/Guardian, Teacher, Administrator, or Other)

  2. If using custom lists, ensure the user is included in the list

  3. Check that the link is not set to "Unpublished"

  4. Look at the folder settings to ensure access permissions at the folder level are not restricting access

Issue: Users can see Quick Links that should be restricted
Solution:

  1. Double-check the access settings for the specific Quick Link

  2. Verify the user's role and list memberships

  3. Remember that if a link is set to "All Users - This item is public," it will be visible to everyone regardless of role

  4. Check if there are conflicting access settings at the folder level

URL Issues

Issue: Links are opening in the wrong browser (internal vs. external)
Solution:

  1. Edit the Quick Link and verify the "Open in External Browser" setting

  2. If the link should open in the device's default browser, this option should be enabled

  3. If the link should open within the app, this option should be disabled

  4. Some mobile devices or operating systems may override these settings based on user preferences

Issue: Links are not working or displaying errors
Solution:

  1. Verify that the URL is correct and complete, including the proper protocol (https:// or http://)

  2. Test the link in a regular web browser to ensure the destination site is working

  3. Some websites may not display properly in the app's internal browser—if this is the case, enable the "Open in External Browser" option

  4. For secure sites (https), ensure there are no certificate errors that might prevent the page from loading

Technical Troubleshooting

App Performance

Issue: Quick Links section is slow to load
Solution:

  1. Reduce the number of Quick Links or organize them more efficiently

  2. Optimize image sizes to reduce loading time

  3. Check your device's internet connection

  4. If the problem persists, try clearing the app cache or reinstalling the app

Issue: App crashes when accessing certain Quick Links
Solution:

  1. This usually occurs when a link points to a resource that requires too much memory or isn't compatible with the app's browser

  2. Enable the "Open in External Browser" option for these links

  3. If the problem continues, report the specific link to Edlio support for further investigation

Import/Export Issues

Issue: Excel import is failing or producing errors
Solution:

  1. Ensure you're using the correct template format

  2. Verify that all required fields (Title, URL) are completed

  3. Check for special characters or formatting in your spreadsheet that might cause issues

  4. For large imports, try breaking the file into smaller batches

Issue: Quick Links disappear after import
Solution:

  1. Check if the imported links were placed in a different folder than expected

  2. Verify that the import didn't change access permissions

  3. Look for error messages during the import process that might indicate issues

  4. If links were accidentally replaced, you may need to restore from a backup

Best Practices to Avoid Common Issues

  1. Regularly audit your Quick Links to ensure they're still working and relevant

  2. Use clear, descriptive names that indicate exactly where the link leads

  3. Be consistent with your organization structure to make maintenance easier

  4. Test new links on multiple devices before publishing to ensure compatibility

  5. Document your folder structure and access control decisions for future reference

  6. Keep backup copies of import files in case you need to restore or reference them
