Message templates in the Edlio Mobile App and Mass Communication system allow school leaders and staff to save reusable message drafts, pre-configured channel options, and standard announcements. By creating templates for recurring communications—such as weather alerts, athletic schedule updates, attendance reminders, and weekly principal newsletters—teams save time, eliminate typos, and maintain consistent district branding.
👥 Important Note on Template Visibility: All message templates saved in your dashboard are shared across all users on your site who have Mass Communication access. There are currently no private, user-only templates. Any administrator or staff member with messaging privileges can view, select, edit, and apply any saved template across your school or district site.
💡 Template Independence in Drafts: When a user applies a template to a new message, the content is copied into their active draft. Editing text or changing recipient channels in that draft does not alter the master saved template.
Accessing the Templates Manager
From your EdlioApp dashboard, navigate to Mass Communication > Messages in the main navigation. On the Messages dashboard, click the Templates button in the upper right header to open the slide-out Templates drawer.
Creating a new message template
To build a new reusable template:
In the Templates drawer, click the + New Template button in the upper right (or click Create your first template if no templates exist yet).
Step 1 (Setup): Enter a descriptive Name for your template (e.g., Weather Alert Template or Friday Family Update). Under Select Channels, choose which distribution channels this template applies to (App, Email, and/or Text). When finished, click Next.
Step 2 (Content): Enter the default Subject line for your message. In the Body rich text editor, compose your template text, apply headings, insert links, format bold/italic text, or add tables and media. You can also attach standard documents if needed. Click Create Template to save.
Using a template in a new message
When composing any new message:
Navigate to Mass Communication > Messages and click New Message.
Select your target audience and channels during the creation wizard.
On the message composition step, click the Templates button to open your saved library.
Click on the desired template to load its subject, body text, and attachments directly into your draft.
Customize date/time placeholders, student names, or specific announcements for this delivery without changing the master template.
Review and send your message immediately or schedule it for a future date.
Managing and updating templates
Open the Templates slide-out drawer at any time to manage existing formats:
Edit: Click the kebab or edit action on any template card to adjust its default subject, wording, or attached files.
Search: Use the search bar in the Templates drawer to quickly find templates by title or keyword.
Delete: Remove retired templates that are no longer in use to keep your team's template catalog clean.
