Importing Classrooms
Classrooms can be created through SFTP sync from the Student Information System associated with a site, through manual entry, or through bulk import.
SFTP Sync through Student Information System
This is the most optimal way to set up classrooms. Classrooms can be automatically imported and adjusted as changes are made in the SIS. All participants in a classroom are added quickly and easily with a designation on the sync information.
However, this is only applicable if the site is using SFTP.
Manual Entry
First, navigate to Classrooms under Features. To do this, click on the Features tile on the Home Screen and then Classrooms, or click on Classrooms in the left hand menu.
Next, click the Plus (+) New button on the far right side of the screen.
On this screen, the only required information is the Name of the Classroom. However, an image, description, and members of the Classroom can all be added here. Members of the Classroom must already exist in the Dashboard to be added. To save the information and close this screen, click Ok.
Bulk Import
A bulk import of classrooms is a 2 step process, but can save time over creating classrooms one at a time. With a bulk import, start by clicking Import Classrooms on the Classroom Features screen
.
Then, a screen asking for an Excel spreadsheet will appear. This has a downloadable Excel spreadsheet to guide the information needed for upload. The only information needed in the Classrooms spreadsheet is the Classroom name, but an image and description of the classroom can be added.
Also, note, that target lists for each classroom can be created at this stage. Target lists are lists used for communications across the App.
Upload the Excel spreadsheet. If every Classroom record is valid, the summary will show this. Click Continue to go on to the next screen.
This screen will ask you to review errors. If there are none, click Continue.
The final screen will show you everything that will be imported for one final check.
This is just the import of the Classroom itself. Members must also be imported in order for there to be individuals in the Classroom. This can also be done in bulk, and Members can be added to multiple Classrooms at one time. This cuts down on time to create membership lists. To do this, first, click Import Members.
This screen will appear. Click on the Excel spreadsheet button and download the spreadsheet, if not done already.
For each individual, at least one identifier must be provided and the Classroom ID or Name in order for members to be added to the Classroom properly. However, do not provide a Classroom ID and Name. You can also choose to remove members that already exist in Classrooms, or create new Target Lists.
The rest of this process is very similar to the Classroom import above - import the list to check for valid records, check for errors, and then check the values to ensure it is the correct data being imported.
