Data Processing & Sync Guidelines

Key guidelines to ensure your data sync is processed smoothly

Duplicate Data

  • We are not responsible for missing accounts due to duplicated records.

  • We will notify you of any duplicate records found during processing, However, cleaning or resolving duplicates is your responsibility.

  • Unique email addresses: every user must have their own email. Parents that are also staff cannot share one.

  • Unique Source IDs: make sure no Source ID (e.g., SIS‑assigned ID or email) is not shared between accounts. Shared ID's will cause delays or missed accounts.


Unique Source ID – Required for All Accounts

  • Every account must have a Unique ID.

  • You may use an Email Address, Employee ID, or UUID/GUID but it must be unique and consistent across all instances of an account.


File Structure

  • You can send multiple files (one per role), one combined file, or OneRoster® 1.1 CSV files.

  • Classroom and Enrollment data must always be in separate files from user data.


File Headers

  • Headers are not mandatory, however, we highly recommend them.

  • Without headers, setup takes significantly longer and increases the risk of mapping errors.
